A leading industrial automation and digital transformation solution provider is looking for an Administration Asisstant: The successful candidate will report to the Administration Manager and will be responsible for providing specialized and analytical administrative support to executives, managers, and staff.
- Providing administrative support to the department
- Managing calendars for Directors and Managers, scheduling meetings, booking rooms, taking minutes at department meetings, generating reports and slides
- Coordinating and assisting with travel arrangements, including booking flights, hotels, visas, and cars
- Assisting with processing Tamp;E claims via Concur
- Managing the department's shopping cart and MS Teams site
- Updating the department's organization chart and SOP in SharePoint in real-time
- Maintaining and updating the Management Movement Chart
- Supporting visitors in town, including working with managers on agendas, arranging meetings, transportation, and meals
- Tracking department training progress
- Managing department stationery, printer machines, department cabinet keys, and fringe benefits
- Ensuring the timely, consistent, and effective delivery of information and assignments between managers and departments
- Demonstrating excellent judgement and respecting the confidentiality of information
- Meeting deadlines, prioritizing workloads, and producing the required amount of work to meet needs
- Adapting to a variety of assignments and accepting change
- Providing reception duty coverage on a rotating basis
- Attending monthly admin meetings and taking minutes on a rotating basis
- Performing other ad hoc duties as assigned.
Requirements
- At least 3 years of relevant experience in the administrative field
- Experience in minutes writing and travel arrangement
- Willingness to cover reception duty on an ad-hoc basis
- Proficiency in Microsoft tools such as Outlook, Word, PPT, and Excel preferred
- Experience in Concur, shopping carts, and meal arrangements is an added advantage
- Customer-focused with good planning skills
- Meticulous and independent with good communication skills.
